Assigning case owners and collaborators
Clarify who owns the case, who collects evidence, who reviews responses, and who administers access.
Separate ownership from tasks
A case owner coordinates the full request. Collaborators may handle verification, evidence collection, legal review, delivery, or administration, but one owner should remain accountable for progress.
- Assign one case owner for day-to-day coordination.
- Use tasks for system owners and evidence contributors.
- Use reviewer roles for approvals instead of broad Admin access.
Make handoffs visible
Handoffs should be recorded so the team can reconstruct who did what and why. Notes, task status, and audit events are part of that operating record.
- Record why ownership changed.
- Keep task due dates and descriptions specific.
- Close or reassign tasks when a collaborator leaves the workflow.
