Closing a case and exporting the record
Record closure rationale, export the audit record, and retain documentation of the completed workflow.
Close only after final checks
Case closure should mean the workflow is complete. Review verification, fulfillment tasks, response packet approval, delivery status, and any remaining internal actions before closing.
- Confirm required tasks are complete or intentionally canceled.
- Check that final response and delivery activity are recorded.
- Document closure rationale clearly.
Export the operating record
The audit record helps teams show what happened later. Export it when legal, compliance, customer operations, or internal review requires documentation.
- Include key case activity, decisions, task outcomes, and delivery events.
- Store exports according to internal retention practices.
- Avoid exporting more personal data than the review requires.
